Job Goal: On-site administrative support who is the primary on-site coverage for the Coalition's physical office in Bartow, Fl. You will assist with our programs and staff by providing a high level of administrative work for a largely remote team. Bilingual preferred.

DUTIES INCLUDE

  • Create and maintain a positive image of the Coalition.
  • Ability to physically cover the Bartow, FL office Mon-Fri from 8am to 5pm.
  • Primary operator to receive and screen calls in a professional, polite and tactful manner.
  • Assist with office meetings and conferences to include setup and scheduling.
  • Support departments through general clerical duties to include but not limited to stock and order supplies, copying, scanning, faxing, mailing, filing.
  • Assist with Beds 4 Babies Project (maintain database, data entry, referrals, approvals, consents, filing and follow up).
  • Distribute pack and plays and provide safe sleep training to eligible clients.
  • Assist Contracts Manager with Well Family System data analysis including QA/QI activities (preparing for committee meetings, monitoring of service providers, etc.); data collection, data analysis, and record reviews. Gathering information / data for projects such as service delivery plan.
  • Support Finance team by logging incoming checks and cash.
  • Support HR with processing of annual trainings and tasks as needed.
  • Solicit and coordinate volunteers to assemble provider and hospital bags.
  • Basic analytical skills necessary to maintain accuracy with alphabetic and/or numeric typing and filing systems.
  • Knowledge of and experience with computer hardware/software including, Microsoft Office software, and Internet.
  • Discretion and judgment required to handle sensitive and confidential situations.
  • Interpersonal skills requiring courtesy, tact, confidentiality, and empathy always, to communicate effectively and convey information to callers, visitors, and co-workers.
  • Ability to effectively utilize all standard office equipment.
  • Ability to work independently in local office for a primarily remote team.
  • Ability to travel to Hardee, Highlands, and Polk Counties as needed.
  • Perform other incidental tasks or services consistent with the job goal of this position.
  • DESIRED QUALIFICATIONS

    • High school diploma or equivalent required. Associate degree is preferred. Will consider 2-5 years' experience in lieu of degree.
    • Experience in IT hardware and software preferred.
    • Bilingual is preferred.
    • Knowledge of MS Office 365 (Outlook, Word, Excel, PowerPoint, Access) a minimum typing speed of 45 wpm.
    • Ability to effectively utilize a computer and all standard office equipment.
    • Capable of working independently as well as within a team structure.
    • Strong written and verbal communication skills as well as strong client engagement skills.

    • Proven team player.
    • Ability to work independently, prioritize and multi-task.
    • Ability to travel to Hardee, Highlands, and Polk counties on a limited basis.
    • Upon hiring, candidate will need to pass a level 2 AHCA background screening and drug test. Report results may impact ability to be employed.
